Timeline

  • Participants, or Ambassadors, must carry out a small-scale Individual Project either individually or jointly with their friends (those who are not part of the AYO are accepted to work). By synthesizing information from not only training sessions but also previous experiences,  Ambassadors are expected to be able to conduct the Individual Projects with a view to gaining hands-on experiences related to Youth Empowerment. These projects can be regarded as a stepping stone to the Capstone Projects. Bear in mind that we do not discourage or reject any ideas and detailed proposals are not required. However,  these individual projects will not be funded. As such, Ambassadors should be mindful of costs.

  • After successfully completing the first projects (Individual Projects), Ambassadors are expected to run Capstone Projects, which are so-called “big projects”. Similar to the Individual Projects, the Capstone Projects can be done either in groups or individually. The Organizing Team strongly encourages participants to implement projects with non-Ambassadors or Ambassadors, insofar as the project is meaningful and reasonable. After, Ambassadors will be required to submit a proposal using this project template.

To support the success of projects carried out by all ambassadors, AYO will provide assistance as follows:

  1. WhatsApp group (small group and global group)  This group is divided into two parts: team and global group. Regarding the small groups, there will be around 10 ambassadors in each group,  which will be randomized based on the country representatives. Meanwhile, the global group is used for any kind of necessary discussions with all ambassadors and information with regard to the AYO Ambassadors Program. 
2. Mentorship Each mentor is assigned to a small group, consisting of around 10 mentees. Ambassadors are also mentees, entitled to ask their mentors questions regarding project-related issues.  3. AYO executive access AYO will provide access that can be used by all Ambassadors such as the AYO email accounts, AYO landing page, AYO zoom account, etc.  4. Funding  We will select several projects that will receive monetary assistance based on the objectives of Ambassadors’ projects, the accuracy of project implementation with target beneficiaries, and the sustainability of their projects.

Monitoring and Evaluation (M&E) is used to assess the performance of AYO Ambassadors, identifying problems and strategies and making adjustments to plans. Its goal is to improve current and future management of outputs, outcomes, and impacts.

The tools for M&E include the following:

  1. Weekly Meeting

The meetings can be used for sharing and interchanging information, clarifying, stimulating, and seeking the best solutions regarding program performance. It can be done through WhatsApp, Zoom, etc. 

2. Online Reports

The importance of monitoring reports should not be overlooked. It should be noted that these are an essential part of program monitoring. These parts consist of activities undertaken, goals achieved, the problems faced, etc. that have to be recorded.

3. Mentorship

Ambassadors will get a session to share with their respective mentors (individually or in groups) to discuss the obstacles faced during project implementation. 

Since all AYO Ambassadors’ program is supervised by AYO, if your project will use funds (eg paid events, donation activities, getting sponsors, etc.) you are required to manage the finances through AYO. Please note some flows related to finance at AYO below:

What to prepare

  1. Prepare the Proposal, goal, objective of the donation
  2. Prepare the banner Size 800×800 Px (Maximum size 150Kb)
  3. Provide the Donation Brief into 1 paragraph (30-50 words)
  4. Provide the donation value (1 USD, 2USD, 5USD, 10USD, others)
  5. Register your organization at: ….

Terms

  1. The donation collection must be done under ASEAN Youth Organization Platform
  2. All collaterals should include the AYO Logo on the top left of the banner/poster
  3. Payment can be done by Credit Card, Debit Card (selected), E-Wallet
  4. All donations will be subjected to the Administration and AYO Program Donation 5% of the total fund received.
  5. The donation fund is excluded from the bank charge, visa/MasterCard fee, or other payment charges. It will be deducted from the total amount.
  6. The AYO Finance team will work closely with the organizer and give the weekly/monthly update on the donation progress.
